How each school's data stays separate — and how group and chain access works
Updated 23 Aug 2026
In short
On Vidyapeeth360, every school gets its own private workspace, and no school can ever see, search, or reach another school's data — separation is on by default and there's no setting a staff member could flip to expose it. Your school is always identified securely on our servers from your School Code, never from anything a browser or app can fake. Schools in a trust or chain can add a Group console (on plans that include the Group / Chain feature), where a group administrator sees across all their own branches — roster, combined numbers, consolidated billing, branch-to-branch student transfers, and shared branding — while staying completely walled off from every other group.
When you run your school on Vidyapeeth360, everything you enter — students, fees, marks, staff records, messages — lives in your school's own private workspace. No other school on the platform can see it, search it, or reach it. Vidyapeeth360 hosts many schools on one platform, but each one feels like it has the system entirely to itself.
This matters because your data is sensitive: children's records, family contacts, fee payments, health notes. Under India's data-protection rules (DPDP) you are responsible for keeping that information safe. Vidyapeeth360 is built so that separation is the default — you don't configure anything to get it, and no setting a staff member could flip would expose your school to another.
For schools that belong to a trust or run several branches, the same protection extends upward: a group can see across all of its own branches from one place, while staying completely walled off from every other group on the platform.
How your data stays separate
Every record you create is tagged to your school, and Vidyapeeth360 checks that tag on two independent layers:
- The application only ever asks for records belonging to the signed-in user's school.
- The data store itself enforces the same rule, so even if a single check were ever missed, it refuses to return one record from another school.
Because both layers must agree, a mistake in one cannot leak data across schools — the second layer catches it. Your school is identified securely on our servers from your School Code or a secure link; it is never something a browser or app can fake to peek at another.
One person, more than one school
Some people belong to more than one school — a parent whose children study at two branches of the same chain, or a teacher who moves between campuses. Vidyapeeth360 recognises this: one person can hold a place at multiple schools, and each membership stays neatly scoped to its own school. Signing in to one never quietly reveals another.
Your own web address
Each school gets its own address on Vidyapeeth360, based on your School Code (for example, yourschool.vidyapeeth360.com). Staff and families reach your branded space there, while the main Vidyapeeth360 site stays the shared front door for signing in.
Group and chain access
If you run a trust or a multi-branch chain, Vidyapeeth360 adds a Group console that sits above your individual schools.
A group administrator is tied to exactly one trust or group and can see and work across all of that group's schools — but never another group's. From the Group console you get:
- A member-school roster — every branch in one list.
- Cross-school roll-ups — combined numbers across your branches at a glance.
- Consolidated billing — group charges gathered in one place, in ₹.
- Student transfers between branches — move a child from one school in your group to another as a request the receiving school approves, with the family's consent.
- Shared branding — set the group's look once and let branches inherit it.
The Group console is part of plans that include the Group / Chain feature. If you run a single school, you will never see it — and it changes nothing about how your school works.
Step by step: turn on group access
- Confirm your plan includes the Group / Chain feature — check Settings → Billing or ask your Vidyapeeth360 contact.
- Have your trust or group entity created and your branches linked to it, with help from the Vidyapeeth360 team.
- Assign a group administrator for the group.
- Sign in as that administrator and open the Group area from the main menu.
Tips and best practices
- Keep your School Code stable once you have shared it — it is part of your address and your links.
- Give group administrator access only to people who genuinely need a cross-branch view; everyday staff should stay signed in to their own school.
- Use student transfers instead of re-entering a child at the new branch — it keeps the child's history and identity intact.
FAQ
Q: Can a staff member at one school ever see another school's students or fees? A: No. Isolation is on by default and enforced on two independent layers, so there is no setting that exposes one school's data to another.
Q: We are a single school — do we need to do anything to stay isolated? A: Nothing at all. Every school is separated automatically from day one; the group features simply don't appear unless you run multiple branches.
Q: My children study in different branches of the same trust — can I have one login? A: Yes. One person can belong to more than one school, so a parent can hold a place at each branch while every school's records stay separate.
Q: Can a group administrator see other groups' schools? A: Never. A group administrator is tied to a single trust or group and can only see that group's own branches.
