What plans are available, how does feature access work, and how do I change plans or apply a coupon?
Updated 23 Aug 2026
In short
Trial, Starter, Growth, Premium and Enterprise entitlements use the governed plan matrix, while staff permissions still control record access. A 90-day trial covers the agreed scope; paid service may begin at expiry only after authorised plan selection and the required mandate, checkout, or Order Form.
A school's plan entitlement controls which product capabilities are available. Staff permissions are applied after that entitlement, so being on an eligible plan does not by itself grant a person access to every record or action.
Plans and trial scope
The product recognises Trial, Starter, Growth, Premium, and Enterprise plan tiers. The current Pricing page and governed plan matrix are the source for the features offered with each tier; the signed Order Form, checkout, or purchase confirmation records the commercial model and final scope for a school.
An eligible trial lasts 90 days and does not require a credit card. It enables the workflows agreed for that trial plan—not an undocumented promise that every current or future module is available. The trial does not become paid merely because its calendar period expires. Paid service may begin at expiry only after an authorised School representative selected the paid plan and completed the required mandate, checkout, or Order Form.
Review a plan change
- Open Billing and choose Change plan when that self-service control is available.
- Select the proposed plan and billing cycle.
- Review the server-calculated preview, including the current plan, proposed price, applicable credit, discount, tax, and amount due.
- Confirm only after the preview matches the School's approved commercial terms. Enterprise or implementation-specific scope may require a written quote instead of self-service checkout.
A preview is not a bank charge. The resulting invoice, payment evidence, subscription timeline, and Order Form remain the records to reconcile.
Coupons
A coupon issued by Vidyapeeth360 may be percentage-based or a fixed amount and can carry date, plan, school, and redemption limits. Enter it on the plan-change screen and review the recalculated preview. A rejected or expired code does not change the subscription. Tax treatment shown in the preview should be checked against the final invoice and the School's adviser.
Keep these boundaries clear
- Feature availability comes from the current governed plan matrix, not a Help Center list copied at an earlier date.
- A plan entitlement and a staff permission are both required for a protected action.
- Trial expiry alone does not create a paid subscription; the authorised plan selection and required mandate, checkout, or Order Form are prerequisites.
- Proration, discounts, renewal, cancellation, and implementation charges are confirmed by the live preview and the School's written commercial terms.
Frequently asked questions
Q: Can I evaluate every capability during a trial?
A: Evaluate the workflows enabled for the trial scope shown to your school. Ask for a guided demo of a capability that is not enabled rather than assuming universal trial access.
Q: Can paid service begin when the trial ends?
A: Yes, but only when an authorised School representative already selected the paid plan and completed the required mandate, checkout, or Order Form. Without those steps, calendar expiry alone does not create a paid subscription.
Q: Can my school create a coupon?
A: No. Coupons are issued and governed by Vidyapeeth360 and are validated against their current conditions.
