A school changes software once in years — the rollout has to be boring. Here is the shipped path from registration to go-live: every step is a product surface you can see in a walkthrough, and routine parent messages stay held until your school explicitly goes live.

Five phases, each with a visible checkpoint.

The day ranges show a typical sequence, not a committed date — your pace depends on your data, your team and your go-live decision.

  1. Day 0

    Step 1: Register your workspace

    • Choose your School Code, board and academic year — self-serve, no card required.
    • Board selection drives grading and report-card configuration from day one.
    • The 90-day trial under the current policy starts here, so you can evaluate a full term.
  2. Week 1

    Step 2: Bring your data — or start fresh

    • Upload a student CSV or XLSX into the Migration Copilot: it proposes column mappings and flags row-level issues for review.
    • You approve the mapping and preview staged records before anything commits — then it commits in one transaction with an audit trail.
    • Starting fresh instead? Set up classes, sections and fee structures directly; the import step is optional.
  3. Weeks 1–2

    Step 3: Invite your team and configure the term

    • Administrators create staff logins with one-time handover credentials; each person sets their own password on first sign-in.
    • Role-based permissions decide who sees admissions, fees, academics or people operations.
    • Configure fee structures, timetable and report-card templates against your board settings.
  4. Weeks 2–4

    Step 4: Verify everything in quiet mode

    • New workspaces hold non-essential outbound communication while you explore, correct and train.
    • Security OTPs and authorised staff invitations remain available as operational exceptions.
    • Imported legacy records stay under onboarding safeguards, so a bulk import can never trigger a reminder wave.
  5. Your date

    Step 5: Go live — explicitly, on your date

    • Go-live is a deliberate, recorded action by your school — never an automatic switch.
    • From that point, configured reminders and parent communication can begin.
    • The rest of the trial window is yours to run real workflows — collections, attendance, exams — before any purchase decision.

Who does what — in writing.

Your school

  • Owns its data: verifying imported records, guardian contact details, consent and school policy.
  • Decides the go-live date and which communication channels are configured.
  • Assigns the roles — who administers, who teaches, who handles fees.

Vidyapeeth360

  • Provides the self-serve product, the in-app Getting Started path and the searchable Help Center.
  • Answers questions over the published phone, WhatsApp and email channels.
  • Confirms onboarding responsibilities, migration coverage and the expected go-live timeline for each school in its selected plan or proposal.
